You will act as the right hand to our Patient Coordinator—managing administrative tasks, facilitating patient flow, and helping nurture leads toward consultation and treatment. This position offers a rare opportunity to learn from and collaborate with a top-performing sales professional while positioning yourself for advancement. If you consistently perform at a high level, there is potential for promotion to a Patient Coordinator position within the practice.

Responsibilities

  • Serve as the administrative assistant to the Patient Coordinator, ensuring smooth handoffs, accurate documentation, and timely follow-up with patients
  • Engage warmly with patients in person, over the phone, and via email to answer inquiries, build rapport, and support pre-consultation education
  • Confidently speak (with training) about the practice’s core procedures, helping patients move forward in the consultation and decision-making process
  • Pre-qualify leads by assessing interest, timeline, and candidacy for procedures
  • Manage and optimize the consultation schedule to maximize efficiency and patient satisfaction
  • Maintain detailed records in our CRM/EMR and assist in tracking patient touchpoints and conversion metrics
  • Support front desk operations including check-ins, check-outs, and appointment confirmations
  • Proactively identify ways to improve the patient experience and support practice growth



  • 2+ years in luxury hospitality, medical aesthetics, plastic surgery, or a concierge/front office environment
  •  Professional appearance, strong interpersonal skills, and emotional intelligence
  • Confidence in speaking with patients about sensitive or high-value decisions (training provided)
  • Highly organized and detail-oriented with excellent time management skills
  • Strong computer skills; experience with EMR systems, scheduling software, and patient communication platforms
  • Prior experience in sales support or high-ticket customer service is a plus
  • Passion for aesthetics and a desire to grow into a patient-facing sales role

This position is designed as a developmental pathway to becoming a Patient Coordinator. If you demonstrate a high level of performance, initiative, and leadership, you may be considered for promotion into that role as the practice grows.
